Hannover Re's procedure for handling complaints pursuant to Section 8 of the German Supply Chain Due Diligence Act (LkSG)

Scope of application

Hannover Re's complaints procedure is available to both internal and external persons in order to report human rights and environmental risks, as well as breaches that have arisen as a result of Hannover Re's business activities, either those of a direct supplier.

Procedure
Our whistleblower system enables employees, customers and partners to report potential misconduct. As part of the whistleblowing process, the whistleblower must be informed about the protection of their anonymity.
The whistleblower should submit their report in their own words using the prepared questions. After the report is submitted, the whistleblower will receive a process number as confirmation that the report has successfully been submitted.
An anonymous electronic mailbox can be set up for ongoing communication regarding further investigations and measures taken, while preserving the anonymity of the whistleblower. 

Confidentiality and protection against retaliation
The whistleblower system can be used completely anonymously, where the reporter does not voluntarily provide any data that allows conclusions to be drawn about their identity. All reports are received by the Group Legal Services department and treated confidentially. 
If necessary for the investigation and assessment of the report, relevant departments or external consultants may be involved. All persons participating in an investigation are obliged to maintain its confidentiality and that of any individuals involved.

Effectiveness Review
The effectiveness of the complaints procedure is reviewed annually. An ad hoc review is carried out if a significant expansion or change in the risk situation in the company's own business area or at direct suppliers is to be expected.
